Why Forms Live launched independently in Queensland

Kylie: AJ, why did Forms Live decide to launch in Queensland?

AJ: As many of you on the call will be aware, there have been significant changes in the Queensland market. Forms Live wanted to ensure that Queensland agents continue to have access to the technology they were familiar with for creating forms and contracts.

We also wanted agents and property managers to have choice of providers. Having multiple providers in a market is always a good thing, and we're pro-choice. And we wanted Queensland agents to continue to have access to the latest workflow automations and efficiency tools. In short, it came down to making sure Queensland agents didn't lose access to the technology they'd been relying on.

Are the forms compliant? Addressing the main concern

Kylie: The forms have changed inside the Forms Live system, and there's been a lot of talk around them. The main question everyone's asking is: are they compliant, and how can users feel secure around that?

AJ: Absolutely. Yes, the forms are compliant. They've been drafted by Dentons, based at Eagle Street in Brisbane, recognised as the largest law firm in the world. They specialise in contracts and they stand behind their work.

The lawyer leading the charge is Cara Richardson, a commercial real estate partner at Dentons. She is very highly regarded for crafting comprehensive legal documentation, which are meticulous and commercially viable. We made a deliberate decision to ensure Forms Live had the best possible legal representation, and Dentons delivers that. Our customers can be confident the forms are compliant and safe to use.

Kylie: There's also been talk that forms need to be tested at tribunal before they're compliant. Is that the case?

AJ: No, they do not need to go to tribunal to be compliant. Queensland's real estate regulations are well established. The information they require is clearly set out. There are also other independent forms providers in the market, and their compliance has never been questioned. We're simply an additional independent provider in the Queensland market now, and one who stands behind the quality of its drafting.

Bottom line: The forms are compliant. They were drafted by Cara Richardson at Dentons, the world's leading law firm, who specialise in exactly this type of work and stand behind the output.

The benefits of fresh forms for 2026 workflows

Kylie: In being able to redraft the forms and contracts, were there any benefits to that?

AJ: Yes, a lot of benefits. The way real estate agents and property managers work in 2026 is very different to how they worked in the past. Workflows are more digital, electronic signatures are standard, and online processes are the norm. The new forms reflect these changes, and they capture information earlier and in a way that flows more naturally through a digital process.

We've also strengthened and clarified provisions around eSignatures and privacy. And because we have fresh forms and contracts, the AML changes that came into effect on 1 July are built directly into the forms rather than added as annexures. It's not just about creating forms, it's about creating forms that will withstand the test of time and move the industry forward.

Kylie: Who decided the timing of the change? Because having the financial year and AML changes hitting at the same time was certainly a very busy period for agents and property managers.

AJ: It was indeed a difficult time for Queensland real estate. REIQ has stated publicly on Facebook that they terminated the contract with Dynamic Methods after working together for more than a decade. The timing of that was not our decision, and we would have approached it differently if it had been our call. I understand it was, and still is, an extremely difficult time for a lot of Queensland agents.

Integrations: everything you need to know

Kylie: What about the integrations? They're a key part of making it easy, and one of the benefits Forms Live has always had is how extensive they are. Are they in place in Queensland?

AJ: Yes, absolutely. We're integrated with Repit, MRI, AILO, PropertyMe, Mantis Property, RESO, Zavanti, and many more. The advantage Dynamic Methods and Forms Live has is that we operate in every state, which means we've been building and deepening these integrations for years. It's not just the integrations themselves, but it's the depth of those integrations that ensures a genuinely seamless flow.

On signing: you can use your existing DocuSign licence, SignedX with MRI, or our own built-in Forms Live Sign, which is seamless and included in your subscription. On AML: APLYiD, AMLHUB, easyAML, and AML Assured are all integrated, with more coming. We have the most AML integrations of any forms provider at the moment, and they're genuinely good integrations, not just surface-level connections.

Chelsea: The first thing to note when you log in: there's a news section that shows you all recent form changes. If you're looking at the contract of sale for residential property right now, you'll see all the updates we pushed out this week, which were based directly on market feedback. That wasn't about the forms being non-compliant. It was about making sure the forms are usable in market, that conveyancers and solicitors aren't going to push back on them, and that principals are comfortable to approve them. We want forms that everybody is actually going to use.

In your forms list, any form sitting in draft that has had a back-end update will show a red 'update' stamp. You don't need to track when you started a form or worry about whether it predates a legislative change. If it's in draft and shows 'update', it's going to be current when you finalise it. That's the whole point of having a compliant forms provider — we think about this so you don't have to.

Info Request is a feature a lot of people don't know exists, and it's one of those things where once you know about it, you wonder how you lived without it. It lets you send a partially completed form to your client so they can fill in their own information. The fields you've completed are locked — they can only fill in the yellow fields. You review it when it comes back, make sure it's correct, and then it goes out for signing. No phone tag, no email chains, no guessing what information they actually provided.

Kylie: That would get rid of a real bottleneck in a lot of agencies.

Chelsea: Absolutely. And there's a built-in dashboard in the forms list where you can track where everything is at — what's been sent, what's been returned, what's still outstanding. The right-hand panel gives you the same view within a specific form. If you have your AML provider connected, it's also accessible from that panel — everything you need for a transaction is in one place rather than across multiple tabs.

Chelsea: Forms Live Sign is included in your subscription, with no extra cost, and every user in your team gets their own signing account. A lot of agencies I speak to have 15 people in the office but two external signing licences, so everyone's piggybacking off each other trying to track what's been sent and what's come back. With Forms Live, it's one-to-one — each person can see exactly what they've sent out and what's been returned. From a compliance and business operations standpoint, that matters.

The signing options are: sign on screen (great for listing presentations when someone's sitting with you), remote sign via email or SMS link, or print and download with auto-placed signature tabs — so you're not manually sticking on yellow tabs from 1985. If you do print a form, the signature and initial fields are already digitally placed wherever they live in that form.

If you need to make a change after a form has been finalised, use Revise. It unlocks it back to draft without you having to duplicate and end up with multiple versions in your list. Revise, make the change, finalise again. Done.

Kylie: And can forms be re-sent by a different team member if needed?

AJ: Yes, and this is a specific improvement. With Forms Live Sign, any team member can re-send a document for signing, not just the original sender. That removes a common bottleneck in busy offices.

Chelsea: You can attach any file to a form via More → Additional Files. So if you want to attach a marketing schedule as a signable invoice, you upload it, and then in edit mode you can drop signature tabs, initials, text boxes, date fields — anywhere on the document. Whatever you drop there becomes a field that needs to be completed when the form goes out for signing.

And here's something a lot of people genuinely don't know: if you want to send a document that has nothing to do with your Forms Live suite, literally anything, scroll to the bottom of the forms list and there's a general cover page. Upload any PDF or document, make it signable, send it. One agent I spoke to recently sends her son's school excursion form through it. Not the intended use case, but it works.

Kylie: So you've actually got the ability to create your own custom forms and make them signable, regardless of what they're for.

Chelsea: Exactly. And related forms is the other thing worth knowing. If you've got a Form 6 fully populated and you now need to create a contract of sale, go to More → New Related Form → Contract of Sale. All the data you've already entered pushes across automatically. I spoke to someone the other day whose whole job is creating contracts for the office, and when I showed her this she said she wasn't going to tell anyone about it so she could go to lunch. That's how much time it saves.

The Forms Live app and InspectLive

AJ: The Forms Live app is available now in Queensland, and it means agents have forms on the go, natively, on their phone. Most selling agents and property managers are on the road the majority of the time. Having the ability to manage forms, track signing status, and get documents signed while you're out in the field is something agents have needed for a long time, and it's now there.

Sign on screen also works through the app, so if you're at a listing presentation and someone wants to sign on the spot, you hand them your phone. InspectLive is also included in the Forms Live subscription, so that's available to Queensland users as well.

Kylie: That's a really important update. If everyone in your office can now get their documents signed and track what's happening while they're out on the road, you're genuinely removing bottlenecks and putting transparency in everyone's pocket.

AJ: Exactly. And the app is getting strong feedback, where agents are saying it's just about time they had it all in their pocket, ready to go whenever they need it. We've been listening to that feedback and continuing to improve it, and that will keep going.
